THE CASTLE GROUNDS · THE DETAILS

Privacy Policy

Last updated: 7 October 2026

This notice explains how information is handled through this website. It does not replace separate notices for bookings, orders, recruitment or activities at the venue.

Who we are

The Castle Grounds is operated by The Castle Grounds Coventry Ltd, registered in England and Wales, company number 16920904. We are responsible for the personal information collected through this website. Contact us at mgr@thecastlegrounds.co.uk or write to The Castle Grounds, 7 Little Park Street, Coventry, CV1 2UR.

Information we collect

If you contact us using the enquiry form, we receive your name, email address, enquiry type, message and any other details you choose to include. These are sent to the venue by email. Required fields allow us to respond; without them we cannot process the form. Please do not include payment-card details or sensitive personal information in your message.

Hosting and security systems may record technical information such as your IP address, browser information and the time and address of a request. The enquiry form uses a hashed IP-based counter, which expires after 15 minutes, to limit repeated submissions. Staff accounts also use sign-in and account information to manage authorised access.

How and why we use information

We use enquiry details to answer questions, discuss arrangements and deal with follow-up correspondence. We rely on our legitimate interests in providing customer service and running the venue. Where an enquiry is a step towards a contract you have requested, we may also use the information to take those steps. Security processing supports our legitimate interest in protecting the website and preventing misuse. Information may also be used where needed to meet a legal obligation.

Submitting an enquiry does not subscribe you to marketing. This website does not collect card payments or use enquiry details for automated decisions with legal or similarly significant effects.

Who receives information

Relevant venue staff and authorised service providers may handle information to answer enquiries, host and maintain the website, provide email services and keep systems secure. The website is hosted by SiteGround, with website maintenance provided by NU Agency. We may disclose information where required by law or necessary to establish, exercise or defend legal claims.

Booking buttons open LiveRes and order-at-table buttons open Zonal. Details you enter on those services are handled under the notices and terms presented there. Maps and social-sharing links also open external services. Check their privacy information before submitting personal details.

How long information is kept

Retention depends on the purpose of the record: whether an enquiry is still open, whether arrangements or a complaint need follow-up, and whether a record is needed for legal, accounting or dispute-resolution purposes. Technical records and backups are subject to the relevant service provider’s retention arrangements. Contact us if you would like information about the retention of a particular enquiry or account, or to request deletion where applicable.

Processing outside the UK

Service providers may operate internationally. The locations and arrangements depend on the service involved. Contact us for information about providers handling your enquiry and any applicable international-transfer safeguards; external booking and ordering services provide their own information about their processing.

Your choices and rights

Depending on the circumstances, you may request access to, correction or deletion of your information, restrict its use, object to processing based on legitimate interests, or request a portable copy. If processing relies on consent, you may withdraw that consent without affecting earlier lawful processing. These rights are subject to applicable conditions. We may need to confirm your identity before responding.

To make a request, email mgr@thecastlegrounds.co.uk. You can also raise a concern with the Information Commissioner’s Office.

Cookies and updates

Read our Cookie Policy for information about browser storage and staff sign-in. We will update this notice when the website or its processing changes; the date above shows the latest revision.
